1 | Media Accreditation Guidelines for the 11th Annual Roundtable Meeting on Sustainable Palm Oil (RT11) The 11th Annual Roundtable Meeting on Sustainable Palm Oil (RT11) invites all local and international media to cover the event. The media at RT11 must observe the accreditation process so as to be allowed full access in order to cover the various activities. The intent of media accreditation is to grant as much access as possible to members of the media and to allow them the access needed to perform their duties, while ensuring the smooth flow of the RT11. Media accreditation will commence on 9 September 2013 and close on 29 October 2013. All applications for media accreditation will be subject to the approval of the organisers. | 2 | Accreditation Principles | 2.1 | Editors of publications and agencies are requested to take note of the following principles to ensure that media accreditation is restricted to professional journalists and photographers: - The organiser considers the media pass to be a working tool to be used only by bona fide members of the media.
- Each accreditation application will be reviewed by the organising committee of RT11 and not every application for accreditation is a guarantee of accreditation.
- Under no circumstance will advertising and public relations agencies (or similar companies and organisations) be accredited as media, nor will the organiser issue any accreditation to representatives (press officers or otherwise) of sponsors and suppliers.
- No double accreditation is allowed (i.e. as media and as a delegate).

- All applications will need to observe the submission deadline as late entries will not be entertained.
- All fields in the media accreditation form have to be filled. The organiser reserves the right to reject any incomplete application.
| 4 | Acknowledgement and Notification - Upon receipt of application, all applicants will receive an automated acknowledgement of their submission.
- The application will take between five and seven working days to process.
- The organiser reserves the right to contact applicants on a case by case basis to request further supporting documentation as necessary.
| 5 | RT11 Media Accreditation Confirmation Letter - Each successful applicant will receive an official RT11 media accreditation confirmation letter by 5 November 2013. If an applicant does not receive the confirmation letter by 5 November 2013, he/she is to contact the media desk at the contact details stated below.
- If any change of representative(s) is to be made, please notify the organiser as soon as possible.
| 6 | Collection of RT11 Accredited Media Passes - Successful applicants must produce the RT11 Media Accreditation Confirmation Letter and two copies of their name card when collecting their media passes at the event venue. No media pass will be issued without proper documentation.
- Media passes can be collected from 11 November – 14 November 2013 at the event venue.
- The media pass is non-transferable. It may only be used by the person whose name appears on the pass. Fraudulent use of the media pass will result in confiscation of the pass.
